- Design and improve department-wide systems and structures, working closely with the Senior Director to identify gaps and build practical, scalable solutions.
- Serve as the lead for the department retreat and other all-team convenings, from logistics through content flow.
- Design onboarding, structure, and support systems for a new department internship/fellowship program.
- Establish and maintain a regular department communication cadence (e.g. weekly updates, department call recaps), including best practices and norms for internal comms.
- Draft and/or coordinate internal communications on behalf of the Senior Director, including the weekly department update.
- Maintain organized department files, shared resources, and documentation so the team can work efficiently.
- Support culture and engagement efforts for the department, in partnership with the Senior Director.
- Provide light-touch executive support to the Senior Director, including coordinating travel logistics and arranging team gestures for staff.
- Take on ad hoc special projects at the Senior Director's direction as departmental needs evolve.
- Coordinate with Ops on the campaigns department's budget management, including designing better systems for tracking expenditures, flagging variances, and working with staff and finance to keep spending on track.
- Identify gaps in departmental operations systems and processes and develop practical solutions that scale with the team's growth.
- Manage campaign operational workflows such as contractor invoicing and train campaign staff on those workflows.
- Build and maintain campaign systems for accurate expense categorization, ensuring campaign staff understand and follow financial protocols.
- Proactively coordinate work across campaign staff, operations staff, and other key stakeholders using clear, direct, and thoughtful communication.
- Drive adoption of financial and operational practices through effective communication, rollout, and follow-up.
- Serve as a responsive point of contact for campaign staff, contractors, and others, addressing operational questions with a caring, helpful approach.
- Support onboarding coordination for new campaigns department hires.
- 3+ years of relevant program administration or operations experience, ideally in a nonprofit, campaign, or mission-driven environment.
- Strong organizational skills and exceptional attention to detail, with a track record of building and implementing systems and processes. Familiarity with project management and automation tools (e.g. Asana, Zapier) is a plus.
- Experience rolling out new processes and driving adoption with a team, including situations without direct management authority.
- Experience with budget management and financial tracking; comfort working with spreadsheets and financial data.
- Experience working with a senior leader to translate department priorities and goals into action.
- Excellent written and verbal communication skills, including experience drafting communications on behalf of senior leaders.
- Comfort and experience building relationships, communicating, and coordinating work with staff across an organization, including leadership and staff outside the assigned department.
- Demonstrated ability to act as a responsive point of contact to field incoming questions, support problem-solving, and resolve issues in a way that builds trust.
- Exercises discretion and good judgment when handling sensitive information.
- Excitement for taking systems built in a fast-growing organization and bringing them to the next level of maturity and sophistication; comfortable identifying problems and building solutions from scratch.
- Proactive, self-directed work style with the ability to manage multiple priorities simultaneously.
